Hello. Getting Started

Day one on bubbleFiz. Let’s walk through the essentials together.

How bubbleFiz works

It’s quite simple. Team Admins create a Team Account before setting up Groups as shared workspaces for the team. The Group Admins invite Members to come and get work done in the Groups using Templates, Chat, @fiz, Documents and Connectors. And all this is done on-the-go from your mobile device.

The People & Roles

  • Members incl. Team Members and Community Members
  • Roles incl. Team Admin, Group Admin, Member and Guest

The Toolkit

  • Team Account
  • Team Manager
  • Groups
  • Templates
  • Chat
  • @fiz
  • Documents
  • Connectors

  1. Once the app is downloaded to your device, open the bubbleFiz app
  2. Select a login option (below is a sample of the screen);
    1. Select already a user from the bubbleFiz home screen for users who were invited to bubbleFiz or returning to bubbleFiz. Enter the email address that is registered with the bubbleFiz team. Unsure which email address to use? Simply refer back to the invite email in your inbox
    2. Select new user from the bubbleFiz home screen for users who are new to bubbleFiz looking to get started and were not previously invited. Enter your preferred email address
  3. To complete the login process, bubbleFiz will instantly send a unique 6 digit verification code to the email address used in the steps above
  4. Find the 6 digit verification code in your email inbox. Copy or memorise the 6 digit verification code
  5. Enter the 6 digit verification code into the bubbleFiz app pairing screen (below is a sample of the screen)
  6. Once you have successfully accessed the bubbleFiz app (login), you may complete your member profile fields, add a photo (or any image), then continue on and start using bubbleFiz.

Setup your Member Profile

Filling out your bubbleFiz member profile helps other members understand more about you. In the app, a member profile is made up of a Profile ID, Profile Display Name and Profile Photo.

Profile ID is the unique email address that you used to log in to the bubbleFiz app. The email address cannot be changed after setup, but you can easily create a new member profile with a different email address.

Profile Name is the display name that is seen throughout the app by other members. This could be your full name, your first name only or a nickname. The display name has a 20 character limit and can contain alphanumeric characters, punctuation characters, special characters, spaces, non-English characters and emojis.

Profile Photo: add your photo (or any image). Your profile photo helps your team or community know who you are, both in bubbleFiz and in the real-world when it comes time to meet up.

Your Team Admin may have already setup the basics for you when they created your team member profile, but you can edit profile details at anytime via the app.

  1. Open the bubbleFiz app
  2. Tap the Settings icon
  3. Tap Profile menu item
  4. Update your Member Profile
    • Profile Display Name; enter up to 20 characters
    • Profile Photo; take a photo using the device camera, or upload an image from the devices photo library or other apps that your device has access to (eg; dropbox). Edit image size and position before saving.
  5. Tap Update my profile to save the changes

Create a new bubbleFiz Team

It’s easy to get started with a new bubbleFiz team on our business plans. All you need is valid email address, and one minute of your time.

  1. To create your bubbleFiz team, go to https://bubblefiz.com/standard-plan/ and enter your email address
  2. Then step through the quick process in the Team Manager site to setup your Team Account and your Team Administrators access;
    • First, BubbleFiz will send you a verification email with a unique 6 digit code to enter into the Team Manager site,
    • Then create your Team Manager site password,
    • Add your member profile preferred Full Name. This is used in the Team Manager site Administrator profile name. It can be changed at any time via Team Manager
    • Add your preferred Team name. This is used throughout the team experience in the bubbleFiz app and Team Manager site. It can be changed at any time via Team Manager
    • Select some Bundles to get you started with groups and Templates
    • Invite Team Members. This can also be done at a later time via the bubbleFiz App or Team Manager site.
  3. Now download the bubbleFiz app and you’re off and running! See also Download App and Login.

App Tour - Login

The ‘Login’ tour focuses on the experience from app download to successful login.

Initial Screens are shown immediately after the app is opened on the device. The primary purpose is to provide a step off point for users to create a new member profile (Get Started) or login with an existing member profile (Already a User). The user can also tap and swipe to view different preview images of the bubblefiz app.

Pairing Screens allows users to enter an Email Address to start the process of pairing a member profile to the app and device. The pairing screens are accessed by selecting the Already a User or Get Started buttons on the initial screens. Users creating a New member profile can also access the Terms of Service and Privacy Policy from this screen.

Verification Code screen allows users to enter the unique 6 digit verification code that was sent to the email address entered in the pairing screens. The screen is automatically shown after the email address is added to the Pairing Screen. Users can also opt to resend another code using the I did not receive a code button.

Setup Profile screen allows new and returning members to update their member profile, including a profile photo. This step can be skipped or completed at a later time via the Settings menu. Skipping or saving the setup profile screen takes the user to the home screen.

App Tour - Home

The ‘Home’ tour focuses on the experience from successful login to the app, through to accessing your Groups.

Home screen is your launchpad to get work done. It acts as the gateway to your groups, search and settings menu. If you are logged into the app as a member, the home screen is the default view when you open the app on your device.

Groups are where all the pieces come together. The Home screen provides a list of the Groups that you have access to. On the Home screen you can accept an invite to a new Group, enter a Group, opt out of a Group, or create a Group using the New Group button (+).

Search is a fast and efficient way to get to information in bubbleFiz. The deep search feature will search across all information that you have access to in the app. The search feature also has filtering to help you narrow down your search results. In a single tap, your can filter between All, Groups, Chat and Templates to find what you need. Tap your search results and the powerful deep linking will take you directly to the information you wanted in a group, template, response or chat.

Refresh button allows users to request the most up-to-date information to be sent to their device. You shouldn’t have to use the refresh button too much, but it can be useful in situations where network difficulties are impacting your user experience, or you believe you have not received some information that you need.

Settings Menu is the gateway to manage your app and profile settings.

  • Profile screen allows members to manage their profile details such as Profile Name and Profile Photo. Also shows the Team Admin contact details for the Team Account the member belongs to.
  • Add Profiles lets the user login to more than one member profile at time in the app. You may have two diverse roles in a organisation, or perhaps you are a freelancer who needs more than one member profile for a few concurrent gigs.
  • Team Manager gives Team Admins access to the Team Manager website from within the app environment.
  • Flag Content helps Members and Group Admins manage flagged content from within the app.
  • Help connects members with the bubbleFiz Help Centre

App Tour - Groups

Deploy Template button (+) allows a member to deploy a template to the group from a library of templates. Templates allow the member to collect structured information.

Chat inside Groups is a form of conversational communication between different members to create focused conversations. Chat also allows users to add images and use the @fiz virtual assistant.

Web views are simply an in-app web browser to display content from other digital resources outside of bubbleFiz. For example, a Template may have a useful link to documents in your cloud-storage, or a member may share a link to their favourite website in a chat message.

Filters help members quickly filter the screen display between All, Templates and Chat. This can be handy for busy groups where you just want to browse the deployed templates, or focus on chat inside the group.

Search provides powerful search tools inside the Group. This will only return search results from the group you are searching in. Search results may include group summary, templates, template responses or chat.

View Group is the control menu for the group. From the view group screen the Groups Admins can edit properties and manage members in the group. Where as Group member can view properties and view members in the group

App Tour - Templates

The ‘Templates’ tour focuses on the experience from accessing a structured data template, through responding to a template.

Template Response button (+) allows a member in the group to respond to a deployed template. This opens the template response fields, allowing members to input their response using the structured interactions.

Chat inside Templates allows users to create highly contextual and focused conversations, which are nicely contained within the Template. Chat also allows users to add images and use the @fiz virtual assistant.

Web views are simply an in-app web browser to display content from other digital resources outside of bubbleFiz. For example, a Template may have a useful link to documents in your cloud-storage, or a member may share a link in a chat message to their favourite website.

Filters help members quickly filter the template screen display between All, Summary, Responses and Chat. This can be handy for busy templates where you just want to quickly get a summary of the Template, or just browse the responses.

Search provides powerful search tools, but will only return search results from the template you are searching in. Search results may include template summary, responses or chat.

About Team Manager

Think of the bubbleFiz Team Manager as mission control for your team experience in the bubbleFiz app.

Most of your daily activity in bubbleFiz can be managed directly in the bubbleFiz app with no special access or tools, but occasionally you need to jump into the engine room to go to full power-mode.

Team Manager allows a Team Admin to manage Team Member profiles, create or edit Templates, manage Groups, manage key Documents, create System Connectors to external assets, select new bundles and control billing.

But most importantly, Team Manager provides access to the structured data files for responses that were collected via the Templates deployed in your groups. In seconds, you can access a simple structured document to power analysis and make quality decisions, faster.

Members

Members are simply bubbleFiz users with a unique email address. Members could be your team members, your employees, your customers, or your mates that use bubbleFiz. BubbleFiz has two kinds of users;

Team Members are bubbleFiz users (a unique email address) whose member profile is listed in your Team account. Team members are usually your employees or mates in your organisation. The Team Admin can manage Team Member profile settings. A Team Member can only belong to one team account at any one time, but, they may be invited as a guest to another Team to communicate and interact in those groups.

Community Members are bubbleFiz users (a unique email address) that do not belong to any Team account. In other words, think of them as a team-of-one who are part of the bubbleFiz app community. Community Members may be invited as a guest to communicate and interact in Team groups.

See also Create a new bubbleFiz Team and Create and Invite Team Members to bubbleFiz.

Roles

Roles are used to assign a group of high-level permissions to member for a specific purpose.

Team Admin controls the highest-level security, configuration and administrative settings via the Team Manager platform. They can also manage Team Members, Create or Edit Templates, manage groups, manage key documents, create System Connectors to external assets and carry out maintenance tasks.

Group Admin is in control of a group. They can add or remove members from the group, edit the group properties and delete the group. These actions can all be done from within the bubbleFiz app. By default, the creator of a group is the group Admin, but any Member can be delegated as the group Admin at a later time. The group Admin does not inherit Team Manager access unless they are also a Team Admin.

Member is the default role for everyone in the bubbleFiz app. Members are invited into groups to communicate and contribute.

Guests are bubbleFiz members that have been invited to communicate in another teams’ Group. Inviting Guests into your bubbleFiz group is a good way to communicate with a wider community of users, while still maintaining security and control of your information. This provides a layer of flexibility for users who work across multiple organisations, such as a contractor, freelancer or executive board member.

See also Create a new bubbleFiz Team and Create and Invite Team Members to bubbleFiz.

Permissions

Each Team Member can be assigned permissions which control their access and function in the apps. Permissions are only available for Team Members, as they are managed via Team Manager platform.

Add Groups allows members to create new groups in the team space.

Add Items allows members to deploy new items in a group in the team space.

Add External Contacts allows members to invite members from outside your team to work  in your groups.

Profile Display Name is the name that is seen throughout the app by other members. This could be your full name, your first name only or a nickname. The display name has a 20 character limit and can contain alphanumeric characters, punctuation characters, special characters, spaces, non-English characters and emojis.

Profile Photo let’s members add a photo (or any image). Your profile photo helps your team or community know who you are, both in bubbleFiz and in the real-world when it comes time to meet up.

  1. Open the bubbleFiz app

  3. Tap Profile menu item
  4. Tap Logout to logout of just the current profile, or tap Logout from all profiles to logout from all profiles paired with that device.
  5. You will be logged out of the bubbleFiz app.

While you are logged out you will not receive mobile notifications from the bubbleFiz app on your device. Also, bubbleFiz does not currently send email notifications, so you can really enjoy your time off (sigh of relief!).

If you are using the bubbleFiz app on more than one device, you will need to logout of the app on each device individually.

Deactivating Your Member Profile

If you are leaving bubbleFiz for good, you can deactivate your member profile. If you have more than one active member profile (Profile ID), you’ll need to deactivate each profile individually.

  1. Open the bubbleFiz app

  6. You will be logged out of the bubbleFiz app and your profile removed from your team account.

The Team Admin can also deactivate your bubbleFiz member profile using Team Manager. This will have the same outcome as above.

Note: Deactivating your account won’t delete messages, templates, responses or files you’ve shared in bubbleFiz. This content belongs to the Team who owned the group that the content was created in. If required, flag content you’d like to remove from the app before deactivating your profile. See also Flagging Content

Request to Delete Your member Profile Information

bubbleFiz members or Team Admins can contact bubbleFiz and request to remove a members’ personal data from the platform. The ability to delete a person’s personal information allows companies to meet the General Data Protection Regulation (GDPR).

bubbleFiz will only delete member profile information at the request/confirmation of a Team Admin. Team Admins should submit a request to bubbleFiz, including the member’s full name, email address, and your Team Name.

Requesting Profile Information Delete

  1. [Member] Before you deactivate your member profile, contact the relevant Team Admin.
  2. [Member] Request that the relevant Team Admin “delete your profile information from bubbleFiz”
  3. [Member] Now deactivate your member profile. See Deactivating your Member Profile
  4. [Team Admin] Now contact bubbleFiz on members’ behalf. Once the request is received and the details confirmed, bubbleFiz will remove the member’s name, email address, and other unique identifiers from any Group activity.

This will delete:

  • Member ID (email address)
  • Member display name
  • Member profile picture
  • @mentions (a full name or display name will appear as @deactivateduser)

This will not delete:

  • Chat content (in Group and Templates)
  • Template Posts and Responses content

If you decide to recreate a bubbleFiz member profile in the future using the same Profile ID (email address), you will be treated as a new user. Your member profile will not automatically inherit previous settings or access. Initially you will be a Community Member until your member profile is invited to an active Team by a Team Admin.

Groups

Groups are where all the pieces come together.

About Groups

Groups are where all the pieces come together — members, structured data, item templates, chat, and the @fiz virtual assistant. Groups are a great way to focus your communication with a whole team or one-to-one with a member.

Your communication with other members will happen in groups, and you can create as many groups as you need. Groups can be used to focus anything —  your business communications, team operations, a topic focus-group, projects, one-to-one with a mate, or even a place to connect with customers or community. The ‘Get Started’ bundle provides you with a few suggested groups to quickly get you up-and-running.

Templates and Chat

Intergrate chat and powerful structured data into your team communication.

About Templates

Item Templates, or simply-put Templates, provide you with a simple, yet powerful way to integrate structured data capture into your conversational communication in a group.

A template is created once, but can be deployed many times over. The bubbleFiz template builder allows your Team to create a series of interactions to collect structured data; leveraging the power of your people and their mobile devices.

Some ideas for templates include polls, short surveys, NPS surveys, data capture forms, audit forms, safety forms, smart-lists, content posts, document shares, knowledge share articles, project updates, team check-in, and the list goes on.

The Template configuration and settings are managed via the Team Manager site, which your Team Admin can access and manage. To create new templates or customise existing templates, contact your Team Admin.

About Chat

Chat goes by many names; personal message, private message, direct messaging, or personal chat. Chat on bubbleFiz is a form of conversational communication between different members. Chat can be used in bubbleFiz groups, or even inside Templates to create highly contextual and focused conversations. Chat provides flexibility and speed, which why it has gained momentum in the work-space. Team members can use chat to complement the structured template interactions to get their message across using rich content which supports text, images, emojis and hyperlinks.

About @fiz Virtual Assistant

@fiz virtual assistant is a software agent that can perform programmed tasks or services for an individual using bubbleFiz Chat. A member uses the @fiz command in a chat message combined with a meta tag to instruct the virtual assistant to perform a task or service. The virtual assistance is very useful for frequent tasks performed by team members where speed and accuracy is key. A virtual assistant can save time and increase the effectiveness of your team.
